Accommodation Policy

Article 1. Scope of Application

  • Any accommodation contracts and related agreements entered into by the Hotel with Guests shall be in accordance with the provisions of this Policy. Any matters not provided for in this Policy shall be in accordance with laws and regulations or generally established conventions.
  • Notwithstanding the provisions of the preceding paragraph, when the Hotel enters into a special agreement, that special agreement shall take precedence to the extent that it does not violate any laws, regulations, or conventions.

Article 2. Application for an Accommodation Contract

  • An individual who intends to apply for an accommodation contract with the Hotel shall provide the following information to the Hotel.
    • 1) Name of Guest
    • 2) Date of stay and planned time of arrival
    • 3) Accommodation fees (generally based on the accommodation fees listed in Appendix Table 1)
    • 4) Any other matters deemed necessary by the Hotel
  • In the event that a Guest requests to extend their stay beyond the date of stay stipulated in Item 2 of the preceding paragraph during their stay, the Hotel shall treat such a request as a new application for an accommodation contract at the time the request is made.

Article 3. Establishment of an Accommodation Contract, etc.

  • The accommodation contract shall be established when the Hotel accepts the application described in the preceding article. However, this shall not apply when the Hotel proves that it did not accept the application.
  • Only in cases when the Hotel has requested an application fee from the Guest, the Guest shall pay the application fee stipulated by the Hotel by a method and deadline the Hotel has designated.
  • The application fee shall first be applied to the accommodation fee ultimately payable by the Guest. When a circumstance arises applicable to the provisions in Article 5 or Article 16, it shall be applied to a cancellation fee followed by reparations. Any remaining amount shall be returned to the Guest upon payment of the charges pursuant to the provisions of Article 11.
  • In the event that the application fee stipulated in Paragraph 2 is not paid by the date designated by the Hotel in accordance with the provisions of the same paragraph, the accommodation contract shall become invalid.

Article 4. Refusal to Enter into an Accommodation Contract

  • The Hotel may refuse to enter into an accommodation contract in the following cases.
    • 1) When the application for accommodation is not in accordance with this Policy
    • 2) When there are no available guestrooms due to full occupancy
    • 3) When an individual who intends to stay at the Hotel is deemed likely to commit acts contrary to the provisions of laws and regulations, public order, or good morals in connection with their stay
    • 4) When an individual who intends to stay at the Hotel is an organized crime group, a member of an organized crime group, a company or group affiliated with an organized crime group or its related persons, or any other anti-social force
    • 5) When an individual who intends to stay at the Hotel has acted in a manner that causes a significant nuisance to other Guests
    • 6) When an individual who intends to stay at the Hotel uses violence, threats, blackmail, or intimidation to make unreasonable demands toward the accommodation facilities or its staff (employees), demands a burden exceeding a reasonable scope, or is deemed to have committed any similar acts in the past
    • 7) When it is deemed that a burden exceeding a reasonable scope is being placed in relation to the stay
    • 8) When it is impossible to accommodate Guests due to the occurrence of a natural disaster, malfunction of facilities, or other unavoidable reasons

Article 5. The Guest’s Right to Terminate the Contract

  • Guests may terminate the accommodation contract by making a request to the Hotel.
  • In the event that the Guest terminates all or part of the accommodation contract due to reasons attributable to the Guest, the Hotel shall charge a cancellation fee in accordance with the provisions in Appendix Table 2 (excluding cases in which the Hotel has requested payment of the application fee in accordance with the provisions of Article 3, Paragraph 2 and the Guest has terminated the accommodation contract prior to that payment)
  • In the event that the Guest does not arrive by 7:00 PM on the date of stay without notice or there is no notification, the Hotel may regard and treat that accommodation contract as having been terminated by the Guest.

Article 6. The Hotel’s Right to Terminate the Contract

  • The Hotel may terminate the accommodation contract in the following cases.
    • 1) When a Guest is deemed likely to commit acts contrary to the provisions of laws and regulations, public order, or good morals, or has been deemed to have committed such acts, in relation to their stay
    • 2) When a Guest is clearly deemed as having an infectious disease
    • 3) When it is deemed that a burden exceeding a reasonable scope is being placed in relation to the stay
    • 4) When it is impossible to accommodate Guests due to the occurrence of a natural disaster or other such force majeure
    • 5) When a Guest smokes in bed, tampers with firefighting equipment, or commits other acts that violate the prohibitions of the Hotel’s prescribed Terms and Conditions of Use (limited to those necessary for fire prevention)
  • When the Hotel terminates the accommodation contract in accordance with the provisions of the preceding paragraph, no fees shall be applied for any accommodation services, etc. that have not yet been provided to the Guest.

Article 7. Registration of Information at the Time of Stay

  • Guests are required to register the following information at the reception desk of the Hotel on the day of their stay.
    • 1) Name, age, gender, address, and occupation of the Guest
    • 2) For foreign nationals visiting from abroad: nationality, passport number, and point and date of entry into Japan
    • 3) Departure date and planned departure time
    • 4) Any other matters deemed necessary by the Hotel
  • When a Guest intends to pay the fees stipulated in Article 11 using an accommodation voucher, credit card, or other method that can be substituted for currency, the Guest is required to present them in advance at the time of registration described in the preceding paragraph.

Article 8. Guestroom Usage Time

  • Guests may use the Hotel’s guestrooms from 3:00 PM to 10:00 AM the following day. However, in the event that the Guest is staying for consecutive nights, the guestroom can be used for the entire days with the exception of the days of arrival and departure.
  • Notwithstanding the provisions of the preceding paragraph, the Hotel may allow the use of guestrooms outside the hours prescribed in the preceding paragraph for up to 1 hour.
    In such cases, an additional fee shall be charged as follows.
    • 1,650 yen (tax incl.) per person

Article 9. Compliance with Terms and Conditions of Use

  • While in the Hotel, Guests shall comply with the Terms and Conditions of Use established by the Hotel and posted within the Hotel.

Article 10. Business Hours

  • Business hours for the main facilities, etc. of the Hotel are as follows. More information on business hours for other facilities, etc. is presented in the provided pamphlet, postings in various locations, the service directory in guestrooms, etc.
    • 1) Hours for the reception desk, cashier, and other services Reception desk services: 7:00 AM – 8:00 PM
    • 2) Hours for dining (facility) services
      A. Breakfast service begins: 7:30 AM – 8:30 AM
      B. Dinner service begins: 5:30 PM – 6:30 PM
    • 3) Hours for ancillary service facilities
      A. Shops: 8:00 AM –7:00 PM
      B. Kayabuki no Sato: 10:00 AM – 5:00 PM
  • The hours of operation described in the preceding paragraph are subject to temporary change in the event of necessity or unavoidable reasons. In such cases, notification shall be made using appropriate means.

Article 11. Payment of Fees

  • The breakdown of accommodation fees, etc. to be paid by the Guest and the calculation method shall be as shown in Appendix Table 1.
  • Payment of the accommodation fees, etc. stipulated in the preceding paragraph shall be made at the reception desk at the time of checkout or when the Hotel requests it through means such as currency or an alternate method accepted by the Hotel, such as traveler’s checks, accommodation voucher, or credit card.
  • Accommodation fees shall apply even if the Guest voluntarily does not stay in the guestroom after the Hotel has provided the guestroom to them and made it available for their use.

Article 12. Responsibilities of the Hotel

  • In the event that the Hotel causes damage to a Guest in the execution of the accommodation contract and related agreements, or due to the non-execution of such agreements, the Hotel shall provide reparation for such damage.
  • However, this shall not apply when said damage is due to reasons not attributable to the Hotel. While the Hotel has received a Fire Safety Certification Mark from the fire department, the Hotel has taken out hotel liability insurance in order to be prepared to deal with unexpected fires or other disasters.

Article 13. Measures When a Contracted Guestroom Cannot be Provided

  • In the event that the Hotel is unable to provide a Guest with the contracted guestroom, it shall, with the consent of the Guest, arrange other accommodations of comparable condition to the extent possible.
  • Notwithstanding the provisions of the preceding paragraph, when the Hotel is unable to make arrangements for other accommodations, it shall provide the Guest with compensation equivalent to the cancellation fee and the compensation shall be applied to reparations for damage.
    However, no compensation shall be provided when the inability to provide the Guest with a guestroom is not attributable to the Hotel.

Article 14. Storage of Guests’ Baggage and Personal Belongings

  • In the event that a Guest’s baggage arrives at the Hotel prior to their stay, the Hotel shall take responsibility for keeping it only if agreed upon by the Hotel in advance of its arrival, and shall hand it over to the Guest during check-in at the reception desk.
  • In the event that a Guest’s baggage or personal belongings are left at the Hotel after checkout and the owner of the baggage or personal belongings is found, the Hotel shall contact the owner and request instructions from them.
  • In the cases of the previous two paragraphs, the responsibility of the Hotel in regard to keeping the Guest’s baggage or personal belongings shall be in accordance with the provisions of Paragraph 1 and Paragraph 2.

Article 15. Responsibilities Regarding Parking

  • In the event that a Guest uses the Hotel’s parking lot, regardless of whether the Guest has deposited the vehicle’s keys with the Hotel, the Hotel assumes no responsibility whatsoever for the management of the vehicle as the Hotel merely loans out the space.

Article 16. Responsibilities of Guests

  • In the event that the Hotel suffers damage due to willful misconduct or negligence on the part of a Guest, the Guest shall provide reparations to the Hotel for such damage.

Remarks

  • The basic accommodation fee is based on the rate schedule posted at the reception desk and in guestrooms.
  • The child fee shall be applied to elementary school-age children and below. When meals and bedding are provided that are equivalent to those for adults, the child fee shall be 70% of the adult fee. When both kid’s meals and bedding are provided, it shall be 50%, and when either kid’s meals or bedding is provided, it shall be 30%. For toddlers not provided with either bedding or a meal, 1,100 yen (tax incl.) shall be charged per child.

Exemption from consumption tax for foreign diplomatic offices is restricted to embassy officials, diplomats, and others who have received a tax exemption card issued by the Deputy Chief of Protocol, Minister’s Secretariat of the Ministry of Foreign Affairs. When purchasing a service, the tax exemption card for an embassy, etc. or diplomat, etc. (hereinafter referred to as “Tax Exemption Card”) must be presented, and the required fields of the “Certificate of Tax Exemption Purchase for Foreign Establishments” must be filled out and submitted. Please note that items applicable for tax-exempt purchases, and the scope and minimum purchase amount are written on the Tax Exemption Card.
